About The Position

This position is responsible for relieving Corps Officers of administrative detail, performing advanced, complex, and often confidential administrative work. The role involves assisting in the preparation of materials for TSAMM submittals, maintaining technical reports and spreadsheets, coordinating meetings, handling correspondence, and managing confidential Advisory Council materials. The Administrative Assistant also responds to inquiries regarding departmental operations and provides primary local support for office equipment. Additionally, the role includes seasonal duties such as assisting with Kettle Season, supporting special events, and meetings through logistical coordination and clerical preparation.

Requirements

  • Two-year degree or college coursework, and four years progressively responsible experience performing administrative work in a general office, or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • Valid state driver’s license is required.

Responsibilities

  • Relieves Corps Officers of administrative detail; performs advanced, complex, and often confidential administrative work.
  • Assists in the preparation of materials for TSAMM submittals to Area Commander for approvals (rationale and supporting documentation).
  • Maintains advanced and technical reports and spreadsheets from start to finish.
  • Coordinates information and arrangements for meetings and Advisory Council meetings.
  • Responsible for correspondence on behalf of Corps Officers.
  • Records and maintains all relevant and confidential materials regarding the Advisory Council.
  • Responds to inquiries regarding departmental operations and provides primary local support for office equipment, business machines and communications equipment as necessary.
  • Coordinates between the departments that report to the Corps Officers and Area Commanders, and ensures the office runs smoothly in the absence of the Corps Officers.
  • Assists with seasonal duties such as Kettle Season, special events, and meetings through logistical coordination and clerical preparation.
  • Answers telephone in a courteous and tactful manner; assists employees and provides accurate and complete information regarding the office operations.
  • Attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Assists in overseeing the monitoring additional departments when necessary.
  • Serves as a liaison for other departments and/or command seeking information or services from department leadership.
  • Responds to questions, researches, and provides specific and general information based on knowledge of department operations.
  • Ensures the accuracy, completeness, and timeliness of all information provided.
  • Maintains the confidential nature of the position.
  • Composes, prepares and/or types a wide variety of paperwork including that of a confidential, complex, and/or technical nature with limited supervision and direction such as correspondence, proposals, resolutions, programs, statistics, budgets, invoices, agendas, schedules, manuals, etc.
  • Records minutes of meetings and/or Advisory Council meetings, and distributes the same to all those concerned.
  • Manages filling, updates, purging and organization of documents.
  • Maintains accurate information on and coordinates all administrative duties regarding Advisory Council requests, functions, and other key stakeholders.
  • Prepares and maintains records, databases, books, logs, lists, etc. in an accurate, complete, and timely manner.
  • Updates information and enters data into the computer to maintain records.
  • Tracks and reporting ELS data.
  • May assist with collecting monthly program fees from members, logs payment and fills out receipts.
  • Balances monthly program fee and tracks all.
  • Collaborates with Development Director, Community Center Director, and Volunteer Coordinator on special development projects.
  • Assists with the fundraising marketing materials for upcoming events.
  • May assist with the coordination of routes and reporting during the Christmas Season.
  • May assist with Christmas Programs and drive Salvation Army vehicle transporting equipment needed for programs such as Angel Tree and Kettles during the Christmas Season; operates vehicles in compliance with established policies and procedures.
