About The Position

The Administrative Assistant provides comprehensive administrative and operational support to the Cummings School of Nursing & Health Sciences. This role is integral to the effective functioning of the School and supports its academic, clinical, and administrative missions. The Administrative Assistant works collaboratively with the Dean, Program Manager, faculty, staff, students, and institutional partners to ensure smooth daily operations, clear communication, and a professional and welcoming environment. Serving as a key point of contact, the Administrative Assistant supports faculty and staff with scheduling, coordination, documentation, and communication, while also assisting students with administrative inquiries. The position requires strong organizational skills, discretion, attention to detail, and a commitment to inclusive and student-centered service.

Requirements

  • Bachelor’s degree required
  • Minimum of 2–4 years of administrative experience, preferably in higher education or a complex organizational environment
  • Strong interpersonal and written communication skills, with the ability to work collaboratively as part of a team
  • Proficiency in Microsoft Office and Google Workspace applications
  • Highly organized, detail-oriented, and capable of working independently while exercising sound judgment
  • Demonstrated ability to manage confidential information with discretion and professionalism
  • Resourceful problem-solver with strong follow-through

Responsibilities

  • Provide responsive administrative support to the Dean and administrative leadership.
  • Assist with scheduling, meeting coordination, correspondence, and document preparation.
  • Track priorities, deadlines, and follow-up items to ensure timely completion.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Support the efficient day-to-day operations of the School by executing administrative processes accurately and on time.
  • Assist with operational logistics related to academic programs, clinical activities, and School events.
  • Coordinate closely with the Program Manager to ensure continuity and operational reliability.
  • Serve as a professional point of contact for internal and external stakeholders, including faculty, staff, students, and institutional partners.
  • Manage incoming and outgoing communications (email, phone, in-person) in a timely and courteous manner.
  • Ensure accurate and consistent information flow between the Dean’s Office and School constituencies.
  • Address faculty and staff administrative needs efficiently, including scheduling support, document processing, and procedural guidance.
  • Assist faculty and staff in navigating School and College policies and procedures.
  • Support an environment that enables faculty and staff to focus on teaching, scholarship, and service.
  • Provide responsive, respectful, and student-centered administrative assistance.
  • Assist students with inquiries related to scheduling, forms, procedures, and referrals to appropriate resources.
  • Contribute to a welcoming and organized office environment that promotes a positive perception of the School.
  • Maintain organized and accurate records, files, and correspondence in accordance with institutional policies.
  • Support accreditation, reporting, and compliance-related documentation.
  • Complete special projects and assignments as directed by the Dean, contributing to effective leadership and School operations.
  • Be an active participant in the life of the College by attending and supporting key events like Commencement, Homecoming, and other all-hands-on-deck gatherings.
  • Show a spirit of collaboration and community involvement, including volunteering when possible.
  • Other duties as assigned.
