About The Position

We are seeking a dependable and detail-oriented Administrative Assistant to join our team. This role plays a vital part in supporting daily office operations and maintaining a welcoming, organized environment for both staff and visitors. The position will support day-to-day administrative functions while also assisting with coordination across meetings, office operations, and internal activities. This role will continue to work closely with leadership and cross-functional teams to ensure smooth administrative and office functions, with the opportunity to take on additional responsibilities over time.

Requirements

  • High school diploma or equivalent required.
  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of office management systems and procedures.
  • Ability to operate general office equipment.
  • Ability to manage multiple tasks and work independently.
  • Excellent written and interpersonal communication skills.
  • Positive attitude and willingness to learn and take on additional responsibilities.

Responsibilities

  • Place weekly grocery orders to maintain breakroom and kitchen supplies.
  • Manage office supply and Amazon orders, including tracking inventory and preparing purchase order details.
  • Stage and prepare the office each morning by tidying common areas, refreshing conference rooms, and setting up coffee and refreshments.
  • Monitor and restock kitchen areas, printer stations, and supply cabinets throughout the day.
  • Coordinate office snacks, lunches, and food orders, including planning in advance and ensuring timely delivery.
  • Conduct daily walkthroughs of the office to ensure meeting rooms, common areas, and shared spaces are organized and ready for use.
  • Manage and coordinate meeting room setup and reset throughout the day.
  • Assist with scheduling internal meetings and coordinating logistics as needed.
  • Submit and track building tickets and coordinate with building management for maintenance or service needs.
  • Maintain and update office-related contact information, including vendors and service providers.
  • Support coordination of office events, employee engagement activities, and internal meetings.
  • Assist with onboarding logistics, including preparing materials, setting up workspaces, and coordinating first-day needs.
  • Receive, distribute, and manage incoming and outgoing mail, packages, and deliveries.
  • Support general administrative tasks such as filing, scanning, and document preparation.
  • Help maintain organization of administrative processes and ensure documentation is updated and accessible in Microsoft SharePoint and internal systems.
