This position allows for a hybrid work schedule with a mix of work spent in office (3 days) and working remote from home (2 days). Responsibilities will include, but are not limited to: Serve as the focal point for administrative and documentation activities, scope, and budget requirements of assigned projects. Write and edit procedures, review calculations, and other project related documents in accordance with Sargent & Lundy's and/or client requirements. Perform deliverable formatting reviews. Gather the appropriate information to generate reports for the projects you have been assigned. Prepare deliverable packaging (documents, calculations, drawings, etc.) for transmittal and document storage. This could include, drafting correspondence, data entry, copying and distribution, document tracking, and electronic filing. Assist with onboarding new staff and coordinate training requirements and tracking. Attend project meetings, assist with meeting notes, and track follow-up action items. Coordinate office space needs. Assist with time entry and prepare expense reports for approval. Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies. Clerical support including mailing, scanning, and copying to project teams. Provide real-time scheduling support by booking appointments/rooms and preventing conflicts utilizing Outlook Calendar. Order lunch as needed for meetings.
