About The Position

Mountain View Hospital is looking for an Administrative Assistant to join our team! This role provides administrative support to executive level officers by scheduling, planning, reminding, and organizing. The Administrative Assistant is the main point of contact for external and internal inquirers, screening, prioritizing, and assisting those seeking the executive staff. This position is a consistent presence at required Board and executive meetings, responsible for planning, taking minutes, and distributing necessary materials. The Administrative Assistant will also assist executives with projects as assigned and serve as a resource to administrative personnel. Requirements

  • Must possess knowledge and proficiency in the use of computers (and all standard software programs) and other typical office equipment.
  • Must demonstrate strong written and verbal communications skills.
  • Must have the ability to prioritize multiple and completing tasks.
  • Will possess excellent interpersonal skills when dealing with external or internal inquirers.
  • Must be adaptable, flexible and able to work in a fast paced environment.

Nice To Haves

  • B.S. Degree or Associates Degree in business or related field is desirable.
  • Five year experience as an Administrative Assistant may serve to meet the educational requirement.

Responsibilities

  • Provides expert secretarial and administrative support of a non-routine and confidential nature, ensuring that the department operates in an effective and timely manner.
  • Types correspondence and reports as requested.
  • Performs special projects in spreadsheet and/or work processing.
  • Prepares notebooks, manuals and copies of handouts for distribution.
  • Provides administrative support on an executive and administrative level with the ability to prioritize projects and manage office in an efficient manner.
  • Coordinates meetings, appointments and other duties as assigned by the Administration.
  • Prepares and processes reports that originate with the Administrative team as well as responses to outside requests.
  • Performs typing/composition of general correspondence.
  • Maintains all general and confidential files and contracts.
  • Assist in physician recruitment efforts by arranging site visits, including all travel and itineraries.
  • Assures all Board meetings are held in accordance with the Board of Directors Bylaws.
  • Takes minutes for the regular business session and confidential executive session of the Board of Directors.
  • Assures the confidentiality of materials distributed and utilized during such meetings.
  • Plan and organize various retreats including Board / Medical Executive Committee (MEC) / and leadership groups. This includes hotels, travel, meals and activities.
  • Assembles data relative to various phases of hospital activities, complete special projects of a complex nature as required.
  • Maintain Administrative Policies and Procedures.
  • Receives and assists visitors (or telephone inquiries) by referring them to the appropriate person as circumstances warrant.
  • Assists in customer satisfaction by meeting with patients / families as necessary.
  • Acts as a resource and assists in the preparation of state licensure surveys.
  • Communicates appropriately and clearly to all segments of the hospital staff.
  • Demonstrates the ability to be flexible and organized.
  • Handles conflict with diplomacy and presents a professional attitude and appearance.
  • Must have the ability to prioritize, coordinate and organize resources in an effective and efficient way in order to meet the state goal.
  • Demonstrate the ability to express ideas and information clearly and concisely in memos, letters, emails and reports.
  • Must be able to focus on details of any project.
  • Complies with all organizational policies and procedures regarding ethical business practices.
  • Communicates the mission, ethics and goals of the facility, as well as the focused statement of administration.
