About The Position

The Administrative Assistant performs administrative duties for MSO and clinical operations as required which may include a combination of various support functions including but not limited to details of critical/confidential nature, multi-tasking at various levels of support and providing direct communication, as needed, internally and externally to the company in support of the leader and/or team.

Requirements

  • Strong time management, prioritization, and multitasking skills with the ability to manage multiple projects efficiently and meet deadlines.
  • Excellent organizational skills, including knowledge of office management practices and secretarial procedures.
  • Proven experience preparing and presenting information to senior executives.
  • Superior oral and written communication skills; knowledge of grammar, spelling, and punctuation to type from draft copy, review and edit reports, and correspondence.
  • Professional appearance and demeanor with a high level of composure, diplomacy, and resilience when managing sensitive or high-pressure situations.
  • Computer savvy and familiar with standard office equipment.
  • Strongly proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) with the ability to train others.
  • Highly collaborative nature, including the ability to work effectively and independently with executive leadership, staff, physicians, vendors, clients, and external customers.
  • Working knowledge of organization policies, procedures, and systems.
  • Ability to identify and resolve problems.
  • Ability to gather and report information.
  • Ability to work independently with limited supervision.
  • Ability to type at least 60 wpm.
  • Proficient in electronic meeting software (GoToMeeting, Microsoft Teams, or Zoom).
  • Ability to perform work and maintain communication remotely.
  • Strong customer service skills.
  • Ability to exercise a degree of initiative, good judgment, and maintain a high level of confidentiality.

Nice To Haves

  • Knowledge of hospital setting and physician business office procedures preferred.

Responsibilities

  • Provides administrative support for clinical or non-clinical leadership.
  • Assists with administrative tasks, data entry, and analysis, as well as document management.
  • Performs data entry, tracking, and analysis.
  • Handles details of confidential and critical nature.
  • Answers the telephone, screens calls, and refers callers and visitors to the appropriate individual. Answers inquiries requiring standard answers.
  • Files correspondence, records, reports, and minutes.
  • Processes incoming and outgoing mail; opens, sorts, and prioritizes correspondence for executives.
  • Provides and coordinates back-up support for other administrative personnel as needed.
  • Coordinates projects, workflow, and follow up on delegated tasks to ensure progress to deadlines.
  • Coordinates various office support services including purchasing and facilities management.
  • Assists with special projects as requested relating to practice growth and development.
