Join us as an Administrative Assistant Brown Brothers Harriman & Co. is seeking a highly organized and proactive Administrative Assistant to join our Corporate Banking team in New York. This role serves as a critical partner to senior executives and professionals across the business, helping drive operational efficiency, seamless coordination, and an exceptional client and employee experience. The ideal candidate will combine strong organizational skills, professionalism, attention to detail, and sound judgment to manage competing priorities in a fast-paced environment. This position offers broad exposure across the Corporate Banking platform and an opportunity to contribute meaningfully to the team's effectiveness and success.

Requirements

  • 5+ years of experience supporting senior executives as an Administrative Assistant.
  • Demonstrated ability to manage multiple priorities and deliver high-quality work in a fast-paced, professional environment.
  • Advanced proficiency with Microsoft Office applications (Outlook, Word, Excel, and PowerPoint), travel management platforms, and expense reporting systems such as Concur.
  • Exceptional organizational, communication, and interpersonal skills.
  • Strong attention to detail, sound judgment, and a proactive, service-oriented mindset.
  • Ability to handle sensitive and confidential information with professionalism and discretion.

Nice To Haves

  • Experience within financial services, banking, asset management, professional services, or legal environments is preferred.

Responsibilities

  • Partner with senior leaders to manage complex calendars, travel arrangements, and business logistics, ensuring efficient execution of priorities and commitments.
  • Coordinate domestic and international business travel, including transportation, accommodations, dining reservations, and itinerary management.
  • Oversee expense reporting and reimbursement processes, maintaining accuracy, timeliness, and adherence to firm policies.
  • Support onboarding and integration activities for new team members by coordinating schedules, resources, and administrative requirements.
  • Facilitate internal and external meetings by managing invitations, conference room scheduling, guest coordination, catering, audiovisual requirements, and meeting materials.
  • Set up virtual meetings and conference calls across Teams, Zoom, and other collaboration platforms.
  • Maintain and update client and business information within CRM and internal systems, supporting data integrity and operational effectiveness.
  • Assist with the planning and execution of team events, offsites, and employee engagement initiatives.
  • Provide broad operational and administrative support, including document preparation, vendor and shipment coordination, business card requests, and other initiatives that contribute to the smooth functioning of the department.
  • Identify opportunities to enhance administrative processes and improve team efficiency through proactive problem solving and process management.
