About The Position

The Administrative Assistant, Veteran Services Center acts as the primary point of contact for the Veteran Services Center, responsible for greeting visitors, answering, screening, and routing phone calls, and managing front-desk administrative tasks. This position is also responsible for monitoring office security, handle correspondence/mail, manage calendars, and ensure the reception area is organized, providing essential customer service and support.

Requirements

  • 1-2 years of experience as an administrative professional
  • Strong customer service orientation
  • Must be proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Ability to multitask and work in a fast-paced environment
  • High attention to detail and accuracy
  • Ability to speak and read English proficiently
  • Ability to pass a background and drug screening, as applicable for the position

Responsibilities

  • Responsible for receptionist duties, including welcoming and assisting visitors to sign in with the SINE visitor management software, answering, screening, and forwarding phone calls
  • Provides tours of the Veteran Services Center for first-time visitors
  • Receives all deliveries, sorts, and distributes incoming mail
  • Work with partners in the community to schedule space within the Center
  • Schedule and deconflict volunteer hours within the Center
  • Create and manage event flyers (physical & digital) within the Center
  • Maintains a clean, professional reception area
  • Assists with event space set-up/tear-down
  • Maintains regular and consistent in-person attendance
  • Performs other related duties, as needed
