About The Position

We are looking for a dependable, proactive, and highly organized Administrative Assistant to serve as the critical hub of our La Jolla office. In this role, you will manage front-office operations, oversee secure mail/deposit routing, and provide vital calendar and administrative scheduling support to our executive and operations teams. This role is tailored for a meticulous coordinator who values absolute precision, thrives when managing shifting daily priorities, and takes ownership of their space.

Requirements

  • 3+ years of administrative experience in a professional setting.
  • Exceptional organizational skills and attention to detail.
  • Clear, polished communication in both written and verbal form.
  • Strong time management and ability to handle multiple priorities.
  • Proficient in Microsoft Office 365 (Word, Excel, PowerPoint, Teams, Outlook).
  • Dependable, proactive, and solution-oriented with a commitment to strict confidentiality.

Responsibilities

  • Act as the first point of contact for staff, executives, and guests, keeping the local office client-ready, fully stocked, and running smoothly.
  • Manage incoming and outgoing mail streams daily; guarantee that high-priority checks, documentation records, and deposits are routed and logged within 24 hours with total confidentiality.
  • Support calendar management, scheduling, meeting preparations, and travel arrangements for corporate leadership.
  • Maintain neat internal tracking databases, coordinate scanning/shipping pipelines, and continually update written step-by-step process sheets to support flawless office continuity.
