About The Position

The Administrative Assistant serves as the primary coordinator for day-to-day office operations, ensuring a well-organized, efficient, and welcoming workplace environment. This role focuses heavily on office management responsibilities, including office supply procurement, vendor coordination, staff meeting and lunch planning, office maintenance, and employee support. The position also provides general administrative assistance to office personnel and helps manage office-related communications and logistics.

Requirements

  • Previous administrative experience or equivalent.
  • Operates independently and works on own initiative.
  • Advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Visio or OrgPlus, and Lotus Notes or Outlook.
  • Proficient in all applications.
  • High School diploma or equivalent.

Nice To Haves

  • Associate's degree in Secretarial Science preferred.

Responsibilities

  • Serve as the primary point of contact for office operations and day-to-day workplace needs.
  • Manage inventory and ordering of office supplies, kitchen supplies, and other workplace resources to ensure adequate stock levels.
  • Coordinate staff lunches, team meetings, office celebrations, and employee engagement events, including ordering food, managing logistics, and vendor communication.
  • Partner with building management and vendors regarding office maintenance requests, facility updates, parking coordination, and workplace services.
  • Welcome visitors and support overall office hospitality needs.
  • Coordinate conference room scheduling, meeting preparations, and audiovisual setup as needed.
  • Organize and maintain digital and physical filing systems, ensuring easy access to Teams and SharePoint resources.
  • Support new employee office setup and onboarding activities, including workspace preparation and coordination of office resources.
  • Process purchase requests and follow corporate purchasing and requisition procedures.
  • Maintain departmental files and records in compliance with corporate and government regulations.
  • Assist with creating, updating, and distributing business documents, presentations, and communications.
  • Support office budget tracking related to supplies, events, and workplace expenses.
  • Identify opportunities to improve office processes, increase efficiency, and enhance the employee experience.
  • Utilize Microsoft Office Suite and other business applications to support office operations and administrative activities.
  • Adhere to Corporate Security and Privacy Rules, Corporate Branding Guidelines, and other company policies and procedures.
  • Plan and organize office events, staff meetings, conferences, team off-sites, handling logistics and arrangements.
  • Directly supports two Director of Sales positions.
  • Proactively maintains and manages executive calendar.
  • Manages domestic and international travel plans using executive guidelines.
  • Manages expense reporting timely and correctly.
  • Primary contact for office related needs - including supply management, building communications, office maintenance and parking detail.
  • Daily interaction and support of Sales & Category teams that sit in the office as well as remote employees in supported Business Centers.
  • Knowledge and understanding of business processes and requirements.
  • Consistently handles confidential or business-sensitive information.
  • Proactively identifies and resolves scheduling conflicts.
  • Primary point of contact for manager’s schedule.
  • Identify and implement ways to streamline office procedures and increase efficiency.
