The Administrative Assistant will provide primary administrative support for the Executive Director for Career Success Center and the team. This role involves managing calendars, updating outreach, and reconciling transactions. The position also requires monitoring and reconciling departmental budget expenditures, preparing accounting records, and coordinating department meeting materials. Additionally, the Administrative Assistant will support the onboarding process for new team members, make travel arrangements, and process travel authorizations and reimbursement claims. The role also oversees daily front desk operations, including supervising student employees, managing the Career Success Center mailbox, and organizing the reception area. Ensuring consistent front desk coverage, managing visitor intake, responding to inquiries, and processing requisitions for office supplies are key responsibilities. The Administrative Assistant will provide supervision, training, and guidance to front desk student employees, maintain payroll and attendance records, and assist the team with appointment scheduling, event/meeting space coordination, and food orders. Submitting and tracking work orders, supporting Career Success Center events, and maintaining the office procedures manual are also part of the role. The position requires upholding an organized and welcoming physical workspace and filing system, and providing general administrative support to the Career Success team. For Career Events & Programming, the role involves maintaining an inventory of promotional materials, coordinating orders, tracking and purchasing supplies for career events, and ensuring event materials are accounted for and maintained. The Administrative Assistant will coordinate catering and supply purchases for signature events and assist in scheduling events. The role also entails maintaining open communication with the Executive Director and department staff, handling interactions with students and the campus community professionally, supporting issue-spotting and continuous improvement, fostering relationships across the division, and participating in professional organizations for continuing development. Other duties as assigned.
