About The Position

Day Kimball Health is hiring for an Administrative Assistant to join our WIC (Women, Infants, & Children) department in Willimantic, CT! This role is a vital member of a dynamic team responsible for assisting in the general operation of the Women, Infants and Children program. The position requires assisting in the certification of WIC applicants by interviewing applicants, verifying identity, residency, and income eligibility, entering data into the Statewide WIC database, and following up on missed appointments. The Administrative Assistant will also answer WIC phone calls, handle inquiries, and complete necessary paperwork, including maintaining participant files and ensuring accurate documentation.

Requirements

  • Bilingual (Spanish) required.
  • High School Diploma required.
  • Bilingual Spanish required.
  • At least 1 year experience in a medical office or social service agency setting.
  • Excellent telephone techniques
  • Ability to be empathetic yet firm with client
  • Above Average verbal skills
  • Ability to carry heavy objects to offsite clinics weekly
  • Ability to drive and with access to a car to drive to classes, clinics, and meetings
  • Knowledge of basic computer operations
  • Ability to maintain effective working relationship with supervisor, co-workers and participants
  • Skill in identifying problems and planning their solutions

Nice To Haves

  • Previous secretarial or clerical experience preferred.
  • Associate degree preferred.

Responsibilities

  • Assist in the certification of WIC applicants by performing the following activities:
  • Interview applicants to obtain basic demographic data, such as name, address, and contact information
  • Verify identity, residency, and income eligibility by reviewing required documentation
  • Enter all data into the Statewide WIC database
  • Follow up on phone calls for missed appointments
  • Answer WIC phone calls and handling requests for general information, appointment rescheduling, lost WIC benefits, and other inquiries as assigned by the Site Nutritionist or Supervisor
  • Complete necessary paperwork, including maintaining participant files and ensuring accurate documentation
