About The Position

Advanced Compressor Technology (ACT), a member of the Burckhardt Compression Group, is seeking a detail‑oriented Administrative Assistant to support our manufacturing operations. In this role, you will provide essential administrative and clerical support to the General Manager and Operations Manager, helping ensure smooth day‑to‑day operations in a fast‑paced, precision‑driven environment. Requirements

  • Associate's degree or higher preferred
  • 3-5 years of experience in an administrative or operations support role, preferably in a similiar industry.
  • Must possess and maintain a current, valid driver's license to operate a motor vehicle in the United States.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Experience with ERP and CRM systems (e.g., SAP, Sage, ADP, or similar platforms).
  • Experience processing accounts payable transactions, including invoice entry, coding, and payment processing.
  • Strong attention to detail, ability to manage multiple tasks, and maintain accurate records.
  • Excellent written and verbal communication skills; professional customer service demeanor.
  • Collaborative mindset with the ability to work independently and as part of a team.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and use discretion when handling sensitive information / data.

Responsibilities

  • Provide general administrative support to the Operations team.
  • Process customer invoices and work orders and u pdate the ERP system with service and client account data.
  • Prepare and manage service documentation including work orders, quotes, and invoices.
  • Assist with expense reports and company credit card reconciliations.
  • Process and track accounts payable transactions, including invoice verification, coding, and timely payments.
  • Reconcile vendor statements and resolve discrepancies.
  • Support timekeeping by collecting and verifying time sheets; enter data into ERP/SAGE for payroll processing.
  • Assist in preparing weekly and monthly departmental reports, including man-hour tracking.
  • Organize and maintain contracts and compliance documentation.
  • Assist with inventory and logistics reporting for tools, parts, and equipment.
  • Support purchase order processing and vendor communications.
  • Perform additional duties as assigned by management.
