About The Position

BMI is seeking an Administrative Assistant for its Film, TV, & Visual Media department. This role will primarily perform administrative duties to support the department. The position involves handling daily incoming communications such as calls, mail, faxes, and emails related to statements, cue sheets, membership, applications, and publisher information concerning film/TV royalties. The assistant will communicate regularly with BMI staff, affiliates, and foreign societies, research copyright and royalty matters, prepare reports, questionnaires, and correspondence, and provide necessary business documents. General office duties like answering phones, faxing, and filing are also part of the role. The position requires assisting with special projects, screening incoming calls, organizing and maintaining files and contact databases, generating expense reports, check requests, value letters, and department correspondence. Additionally, the role involves assisting with event coordination, researching information on composers, songwriters, publishers, films, television, and soundtracks, greeting visitors, and supporting workshops by videotaping, securing supplies, and participating on-site. Regular attendance is expected, with schedule flexibility to support special events outside normal business hours. Requirements

  • Minimum two years’ administrative experience.
  • Strong administrative and organizational skills with attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office
  • Must have great customer service skills; problem solving and troubleshooting skills.
  • Able to establish a professional, constructive, personable and informative relationship with affiliates, internal corporate relations, departmental employees and management.
  • Able to work independently and with good judgment
  • Ability to prioritize multiple assignments to meet deadlines, including special projects and events
  • Strong typing and proofreading skills

Nice To Haves

  • Bachelor’s Degree or equivalent preferred.
  • Experience working with and maintaining database systems and reports, as well as word processing and spreadsheets, preferred
  • Working knowledge of the music industry, preferred

Responsibilities

  • Handles daily incoming general calls, mail, faxes and e-mails regarding statements, cue sheets, membership, applications, publisher information and anything that pertains to film/TV royalties.
  • Communicates regularly with BMI staff, BMI affiliates and foreign societies via telephone and in writing
  • Researches copyright and royalty matters
  • Prepares reports, questionnaires and correspondence
  • Provides required business documents
  • General office duties (i.e., phones, faxing, filing, etc.)
  • Assist with special projects, as required
  • Screens incoming calls and responds appropriately following established procedures and guidelines.
  • Contributes to organizing and maintaining files and contact database.
