About The Position

The Administrative Assistant II, DC is responsible for supporting the Distribution Center leadership team. They serve as a confidential assistant and receptionist. The role performs routine and extemporized office and administrative tasks.

Requirements

  • High School Diploma or equivalent
  • 1-3 years of Clerical/Administrative experience
  • A high proficiency with Microsoft Office Programs.
  • Ability to work with customers and co-workers and keep a positive, supportive attitude towards the Company and job; excellent interpersonal skills.
  • Ability to work in fast-paced, high-volume environment and meet deadlines.
  • Ability to work efficiently with minimal supervision.
  • Administrative skills which must include excellent verbal and written communication skills.
  • Attention to detail, organizational, mathematic, analytic, and problem-solving skills.
  • Ability to maintain high level of confidentiality.
  • Responsive to staff needs, including professionalism, respect and consideration of others.
  • Demonstrates flexibility and the ability to quickly adapt to change in the work environment.
  • Overtime as required, which may include weekends.

Responsibilities

  • Receive calls and greet visitors, take and relay messages, respond to requests for information; provide information or direct caller/visitor to appropriate individuals.
  • Compile and prepare routine reports; enter data into corresponding system based on DC reports in a timely and accurate manner.
  • Maintain and create necessary files or record keeping systems, including sorting, labeling, filing, and retrieving documents, or other materials.
  • Provide clerical/administrative support to the DC team including photocopying, faxing, mailing, and filing.
  • Take meeting minutes; write or draft correspondence, reports, documents and/or other written materials.
  • Review incoming correspondence; initiate replies as appropriate; route matters requiring action by staff or management and follow up to ensure actions are completed.
  • Review outgoing correspondence; edit written material for accuracy, format, and arrangement of material.
  • Interact with managers and leaders to prioritize and assist with the execution of multiple tasks and activities required to meet deadlines.
  • Maintain calendars, schedules and coordinate appointments as needed.
  • Compile and assist with the processing of vendor invoices as needed.
  • Track inventory and order supplies for certain office and distribution related items
  • Perform other duties as assigned
  • Comply with all policies and standards
