About The Position

Brown & Streza, a well-established Orange County law firm with over five decades of experience serving high-net-worth families, closely held businesses, and charitable organizations, is seeking an Administrative Assistant. This role will support the Business, and Tax, Trusts, and Estates departments. As a floating role, the Administrative Assistant will provide coverage for absent employees, assisting multiple attorneys and staff with various administrative duties. The position requires exceptional customer service, strong time management, and meticulous attention to detail. The ideal candidate will thrive in a fast-paced legal environment, manage competing priorities professionally, and contribute to the efficient operation of the department. Requirements

  • Minimum 2+ years of administrative experience in a law firm or office environment
  • Excellent administrative, verbal, and written communication skills
  • Strong attention to detail with a high degree of accuracy
  • Exceptional customer service skills and a professional demeanor
  • Excellent time management and organizational abilities, with the capacity to manage multiple priorities
  • Accurate typing skills and prior experience with Windows and Microsoft Office applications
  • Ability to operate standard office equipment, including computers, photocopiers/scanners, and fax machines

Nice To Haves

  • 3 years of experience as an Executive Assistant, Administrative Assistant, or Legal Secretary in a law firm setting
  • Advanced project management skills
  • Experience working with document management systems and CRM platforms
  • College degree

Responsibilities

  • Assist with coverage for administrative assistants, file clerks, and paralegals who are out of the office
  • Provide heavy calendaring support for attorneys, including scheduling and managing complex appointments
  • Coordinate with internal departments to confirm meetings and ensure scheduling accuracy
  • Complete billing entry and expense reports for attorneys
  • Communicate professionally with clients via phone and email
  • Create, update, and maintain database records with a high level of accuracy
  • Prepare routine correspondence and administrative documents
  • Help prepare documents for client meetings
  • Update project lists and spreadsheets
  • Prepare flow charts for clients to depict project details
  • Assist with document production, formatting, and organization
