About The Position

The person in this position oversees the day-to-day operation, and administrative functions for the WestCare GulfCoast-Florida Program(s) as assigned.

  • During your tenure with WestCare, there may be new requirements, including, but not limited to vaccinations that are issued by local, State, Federal, and/or Funders that WestCare may have to comply with. Should this occur Human Resources or appropriate personnel will inform you.

  • 2+ years of administrative experience preferred.

Responsibilities

  • Assist with GulfCoast-Florida program operations and administration.
  • Maintain and approve inventory of all office supplies and order monthly for the region as needed.
  • Develop and maintain professional collaborative relationships with the judicial system and community service providers.
  • Attend meetings and training opportunities in the community as requested by the Outpatient Program Manager and/or OP Services Director
  • Assist in developing clinical staff work schedules and assign daily responsibilities to ensure proper coverage for all shifts.
  • Answer incoming calls and distribute messages and mail.
  • Provide general administrative/clerical support for the program, including photocopying, faxing, filing, and maintaining electronic documentation systems.
  • Assist with the preparation and coordination of clients’ completion certificates.
  • Attend and take minutes of staff meetings.
  • Maintain accurate client rosters.
  • Establish helping relationships with clients and staff characterized by warmth, respect, genuineness, and empathy.
  • Work appropriately with clients to recognize and discourage all behaviors inconsistent with program rules and regulations.
  • Protect clients’ rights to privacy and confidentiality in all treatment situations and record-keeping.
  • Provide feedback to the Outpatient Program Manager and/or Outpatient Services Director and staff regularly.
  • Embrace and embody the mission, vision, guiding principles, clinical vision, and goals of WestCare Foundation.
  • Other duties as assigned.
