About The Position

KIVI is seeking a highly experienced and detail-driven administrative professional to provide advanced, confidential support to our general manager or department head. This role is crucial for the effectiveness of station leadership and station operations. The ideal candidate will possess broad administrative knowledge, a collaborative spirit, and the ability to manage competing priorities efficiently.

Requirements

  • Associates degree in related discipline or equivalent years of experience preferred.
  • Generally, 5+ years of experience in related area of responsibility.
  • Proficiency with various software programs including Microsoft Outlook, Word, Excel, and PowerPoint for Windows.
  • Above average knowledge of general office practice and business etiquette.
  • Ability to balance multiple priorities and to work under tight deadlines while providing consistent and professional service.
  • Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision.
  • Good knowledge of business correspondence composition.
  • Accurate and efficient typing skills.
  • Possess above average interpersonal and communication skills and the ability to maintain good working relationships with all co-workers.
  • Possess above average organizational skills including attention to detail and follow through.
  • Maintain complete confidentiality, possess a professional demeanor, and exercise discretion at all times.
  • Be able to work overtime as needed, often with little notice.
  • Must be able to lift up to 50 pounds.

Nice To Haves

  • Specialized training/certification may be required.
  • Three to five years related experience and/or equivalent combination of experience and training in the professional discipline of the department.

Responsibilities

  • Prepare advanced business presentation documents and spreadsheets.
  • Assist in special projects, perform research and maintain records.
  • Compose correspondence regarding administrative matters and general office policies for manager's approval.
  • Prepare recurring reports independently for signature.
  • Answer the phone, provide and receive information concerning the department.
  • Schedule and maintain calendar of appointments, meetings, and travel itineraries, coordinating related arrangements and booking meeting rooms.
  • Anticipate and prepare materials needed by the manager for conferences, correspondence, appointments, meetings, and telephone calls.
  • Prepare and distribute minutes from meetings.
  • Establish and maintain a variety of files and records.
  • May be required to take and transcribe dictation.
  • Perform other duties as assigned.
