About The Position

The Administrative Assistant supports the Director of International Ministries by ensuring timely donor stewardship, coordinating international visits and events, and managing key administrative functions for the department. This role assists with special projects, department communications, and scheduling, while also supporting media-related tasks such as uploading content, coordinating contract renewals, and tracking performance. Additionally, this person helps prepare international board and campaign reports and maintains content and notifications for global websites and mobile apps.

Requirements

  • Minimum 5 years of experience as an administrative assistant or in project management, preferably in Christian Ministry.
  • Highly developed interpersonal skills, superior communications skills (verbal and written), discretion, professionalism, and excellent judgment.
  • Demonstrated proficiency in computer systems and software applications, including Microsoft Office (Word, Excel, PowerPoint, Outlook), with the ability to perform mail merges, create formulas and data-driven spreadsheets, and develop professional presentations.
  • Ability to type 50+ wpm
  • Self-motivated with the desire to and ability to act independently.
  • Ability to juggle multiple projects and demands.

Nice To Haves

  • Knowledge of radio/television/publishing preferred.
  • Bachelor’s degree preferred.

Responsibilities

  • Act as a liaison with our International Development staff both in the States and overseas to ensure all gifts received are thanked in a timely manner.
  • Plan key visits/events for International Director with overseas supporters.
  • Process reimbursement claims for Canadian donor development staff.
  • Assist International Director with special projects.
  • Prepare department meeting agendas and keep minutes from meetings.
  • Order office supplies, process internal product orders, etc.
  • Reserve rooms and schedule meetings for department staff.
  • Take a lead role in planning department gatherings and international chapels.
  • Support regional offices with any questions/concerns.
  • Upload programs to Amazon S3, FTP, and other platforms as needed.
  • Work with Media and Accounting departments on contract renewals.
  • Aid in assessing international broadcast effectiveness (ROI analysis).
  • Assist in creating Board Reports for Australia, Canada, New Zealand, and UK Board Meetings.
  • Analyze and make recommendations on email and digital campaigns.
  • Prepare monthly, quarterly, and semi-annual reports as needed.
  • Maintain spreadsheets containing pertinent information for each platform.
  • Upload media content and images for international mobile apps and websites.
  • Schedule push notifications for international mobile apps.
