About The Position

As an Administrative Assistant, you will be responsible for performing a variety of administrative tasks. Your role involves composing and preparing correspondence, managing phone calls and voicemails, and responding to emails while conveying crucial information promptly and clearly. You will manage the calendars and appointments for senior executives, ensuring they are informed of their commitments and responsibilities. Additionally, you will assist in preparing meeting materials, taking minutes, and managing agendas.

Requirements

  • Proficiency in Microsoft Office, including Outlook.
  • Experience with calendaring and executive support.
  • Strong attention to detail.
  • Ability to follow verbal and written instructions accurately.
  • Effective and professional communication skills.
  • Ability to work independently and with minimal supervision.
  • Organizational skills for maintaining accurate files and records.
  • Knowledge of using office equipment such as copier, fax, and postage meter.

Nice To Haves

  • Knowledge of Canva or other design software is preferred.
  • Proficiency in Excel and PowerPoint.
  • Experience in preparing presentations.

Responsibilities

  • Compose and prepare correspondence.
  • Field and prioritize phone calls and voicemails.
  • Assist with and respond to emails promptly and clearly.
  • Manage calendars and appointments for senior executives.
  • Prepare meeting materials and manage meeting agendas.
  • Take meeting minutes and track meeting progress.
  • File and retrieve documents, records, and reports.
  • Prepare, gather, and format information for internal and external distribution.
  • Write memos, compile data for reports, and edit documents.
