About The Position

Misselwood at Endicott College is a breathtaking oceanfront estate with historic charm, offering panoramic views and serving as the premier location for world-class events in Beverly, MA. We are seeking a skilled and organized Administrative Assistant to provide essential administrative support to the Misselwood Events team. Reporting to the Executive Director, this role plays a crucial part in ensuring the efficient operation of the department by handling various administrative tasks, coordinating schedules, and maintaining effective communication with staff and external stakeholders. The ideal candidate will be a detail-oriented professional with strong organizational and communication skills and understanding of the hospitality industry. Requirements

  • High school diploma or equivalent required.
  • Minimum of three years of experience as an administrative assistant, preferably supporting a busy executive, leadership team, and/or events office.
  • Exceptional time management skills with the ability to multitask and prioritize in a fast-paced environment, without sacrificing the quality of work.
  • Strong written and verbal communication skills, with an emphasis on clear, concise, and professional written correspondence.
  • Excellent problem-solving and analytical abilities.
  • Outstanding customer service skills and a proactive approach to providing timely solutions.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Demonstrated ability to manage logistics, scheduling, and administrative tasks with accuracy and efficiency.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, Adobe Sign, EMS, and Heartland, with the ability to learn and adapt to new software quickly.

Responsibilities

  • Organize and maintain departmental files, records, and documents for easy accessibility.
  • Assist with data entry, report generation, and document preparation.
  • Handle purchase order requests and invoicing in the Workday system as the primary Cost Center Manager.
  • Serve as the department Procurement cardholder, managing transactions and documentation efficiently.
  • Approve request for use of space in the Event Management System (EMS)
  • Assist with the updating of data in EMS system for benefit of department and College.
  • Serve as resource to department of EMS capabilities
  • Provide general administrative support, managing phone calls for the main department line and the Executive Director, emails, and office correspondence.
  • Maintain office supplies inventory and order items as necessary, ensuring a well-organized and welcoming office environment and experience for external guests.
  • Assist in maintaining and updating departmental records, databases, calendars and spreadsheets.
  • Generate routine reports and summaries as required to support effective communication within the team.
  • Manage and support meeting schedules for the Executive Director of Misselwood Events and members of the Misselwood Leadership Team.
  • Coordinate departmental events and assist with logistics, contributing to effective time management for the team.
  • Flexibility to work nights and weekends as needed to support business needs.
  • Other duties as assigned.
  • Be an active participant in the life of the College by attending and supporting key events like Commencement, Homecoming, and other all-hands-on-deck gatherings.
  • Show a spirit of collaboration and community involvement, including volunteering when possible.
