Requirements

  • Experience: 2+ years of administrative, executive assistant, or operations experience (financial services, lending, or real estate preferred).
  • Technical Proficiency: Highly proficient in Microsoft Office, Google Workspace, and CRM or database management platforms.
  • Communication Skills: Strong written and verbal communication skills with the ability to interact professionally with clients, executives, and partners.
  • Professional Presence: Assertive, confident, and professional demeanor with strong interpersonal skills.
  • Attention to Detail: Exceptional organizational skills and the ability to manage multiple priorities with precision and accuracy.
  • Time Management: Ability to work in a fast-paced, deadline-driven environment while maintaining strong follow-through.
  • Growth Mindset: Eagerness to learn the construction lending business and take on increasing responsibility over time.
  • Initiative: A proactive, self-starting attitude with the ability to anticipate needs and solve problems independently.

Responsibilities

  • Executive Support: Manage calendars, schedule meetings, coordinate travel, and help ensure leadership stays organized and on schedule.
  • Loan & Pipeline Coordination: Assist with tracking active construction loans, organizing documentation, and maintaining accurate pipeline reporting.
  • Client & Partner Communication: Serve as a point of contact for borrowers, builders, and internal teams to gather documentation and coordinate next steps.
  • Documentation & File Management: Maintain organized digital files, loan documentation, and CRM records to support efficient deal execution.
  • Reporting & Presentations: Prepare reports, summaries, and presentation materials to support leadership and production tracking.
  • Process & Technology Support: Identify opportunities to improve organization and efficiency through better use of technology and workflow improvements.
  • Special Projects: Assist with marketing initiatives, industry events, and other operational projects as needed.
