About The Position

The Administrative Assistant provides administrative support to ensure efficient operation of the department. This role assists with scheduling, correspondence, documentation, and general office management, enabling smooth workflow and effective communication across the organization. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • Highschool diploma or equivalent
  • 2–3+ years of experience in administrative or office support roles.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other office tools.
  • High attention to detail and accuracy.
  • Ability to comply with legal and corporate responsibilities.
  • Strong customer service orientation and professional demeanor.

Nice To Haves

  • Experience supporting executive-level management.
  • Familiarity with office management software and systems.
  • Basic knowledge of bookkeeping or financial tracking.
  • Ability to handle confidential information with discretion

Responsibilities

  • Perform office administrative duties, including filing, paperwork, answering and screening calls, scheduling, preparing agendas, and other support tasks as needed.
  • Greet clients, visitors, and guests, determine the purpose of their visit, and direct them appropriately.
  • Deliver information, documents, and updates to relevant parties.
  • Operate and maintain petty cash and expense recording systems.
  • Exercise discretion and sound judgment when handling confidential or sensitive information.
  • Manage calendars, coordinate meetings, and schedule appointments for team members.
  • Prepare, format, and edit documents, presentations, and correspondence.
  • Assist with internal and external communications, including emails, calls, and inquiries.
  • Organize and maintain physical and digital filing systems.
  • Track office supplies, place orders, and maintain inventory.
  • Coordinate logistics for meetings, events, and departmental activities.
  • Assist in onboarding new employees by preparing documentation and scheduling orientations.
  • Support preparation of reports, spreadsheets, and other management documentation.
  • Maintain records of departmental projects, activities, and transactions.
  • Act as a point of contact between the department and other teams or external stakeholders.
  • Support cross-functional initiatives and follow up on action items.
  • Provide ad-hoc support to leadership and colleagues as required.
  • Display professionalism, integrity, courtesy, and politeness in all interactions, both electronic and in-person.
