Requirements

  • Administrative or office experience.
  • Strong customer service background.
  • General knowledge of QuickBooks.
  • Experience with invoicing and processing payments.
  • Naturally makes people feel welcome.
  • Stays calm when things get busy.
  • Can juggle multiple tasks without letting details slip.
  • Loves keeping things organized.
  • Takes pride in doing things the right way.
  • Learns new software quickly.
  • Communicates clearly and professionally.

Nice To Haves

  • Scheduling experience is a plus.
  • ServiceTitan experience is great—but absolutely not required.

Responsibilities

  • Being the friendly, professional voice that greets our customers.
  • Providing exceptional customer service on every phone call and interaction.
  • Scheduling service appointments and helping coordinate our technicians' schedules.
  • Preparing and sending customer invoices.
  • Processing customer payments accurately.
  • Assisting with accounts receivable and basic bookkeeping tasks.
  • Working in QuickBooks for day-to-day accounting functions.
  • Learning and using ServiceTitan (don't worry—we'll teach you).
  • Keeping customer records organized and up to date.
  • Supporting our office team with a variety of administrative tasks.
  • Helping ensure every customer has an outstanding experience from the first phone call to the final invoice.
