About The Position

The Administrative Assistant is responsible for overseeing the day-to-day administrative operations of the office and ensuring a professional, organized, and efficient workplace environment. This role serves as a central point of coordination for office services, facilities, records management, employee events, mail distribution, and administrative support activities. This role partners with internal departments, vendors, and building management to support business operation, maintain office functionality, and enhance the employee experience. This role is part-time (24 hours/week, Monday–Friday) onsite in our Sacramento (Natomas) corporate office.

Requirements

  • Associate's degree or equivalent combination of education and experience preferred.
  • Experience in office administration, office management, or related roles preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, and business productivity tools.
  • Ability to manage multiple priorities and adapt to changing business needs.
  • Strong customer service mindset and attention to detail.

Responsibilities

  • Maintain office, conference room, kitchen, and common areas to ensure they are clean, stocked, and presentable.
  • Coordinate office maintenance requests and serve as the primary liaison with building management, service providers, and vendors.
  • Order and manage office supplies and other workplace resources.
  • Support office access, security, parking, and workplace-related administrative processes.
  • Receive, sort, and route incoming mail, deliveries, and correspondence to the appropriate departments and individuals.
  • Prepare and coordinate outgoing mail, shipping, courier services, and Post Office deliveries.
  • Process and distribute priority or time-sensitive documents in accordance with company procedures.
  • Maintain mailing records and support document distribution activities as needed.
  • Support company records management and document retention programs.
  • Organize, scan, file, and maintain physical and electronic records in compliance with company policies.
  • Coordinate document storage, retrieval, archiving, and destruction activities as appropriate.
  • Assist departments with records organization and retention requirements.
  • Coordinate monthly employee lunches and other workplace events.
  • Support employee engagement activities, recognition programs, and company-sponsored events.
  • Assist in creating a positive and welcoming office environment for employees and visitors.
  • Provide administrative and operational support for cross-functional projects and initiatives.
  • Assist with vendor coordination, scheduling, meeting preparation, and project tracking.
  • Maintain reports, spreadsheets, and operational records as required.
  • Respond to employee and departmental requests related to office operations.
  • Provide backup administrative support for executive and senior leadership functions as needed, including calendar management, meeting coordination, travel arrangements, preparation of reports and presentations, and other administrative activities.
  • Perform special projects and other duties as assigned to support business objectives.
