Job Role : The purpose of this position is to perform all necessary administrative functions and assigned project work as required to ensure a functional office environment. Relationships : Interacts with all employees throughout the organization as well as outside vendors.

Requirements

  • Organizational Skills: Must be able to prioritize and organize requests from a project perspective. Must be able to multi-task.
  • Communication Skills: Excellent verbal and written skills.
  • Problem Solving : Must be able to trouble shoot when orders are delayed.
  • Technical Skills: Must be proficient with a computer and a multi-line phone system. Have a working knowledge of Word, Excel, e-mail system, and internet. Also, should have experience with fax machine, copier, scanner, and postage meter.
  • High school diploma or equivalent
  • 1 – 2 years previous experience preferred

Responsibilities

  • Answer phones, greet and announce visitors.
  • Procurement, inventory, distribution, and invoice processing of all Maintenance purchase orders, employee uniforms and miscellaneous shipping supplies, office supplies & janitorial supplies.
  • Back up Materials Manager with purchasing, filing and any other functions necessary.
  • Responsible for the order/reorder/release of all company forms and related printed material.
  • Share in company store duties to include ordering, checking inventory, stocking shelves, waiting on customers, processing invoices and balancing cash drawer.
  • Maintain system for retention of company records according to established standard.
  • Process outgoing mail, distribute incoming mail and prepare UPS shipments.
  • Responsible for handling procurement card for Maintenance/Plant invoices and reconciling card on a monthly basis.
  • Additional administrative duties as necessary.
