The US-based administrative team is the backbone of our operations, supporting over 240 rating analysts dedicated to public finance. We are a collaborative group that values efficiency, attention to detail, and seamless service delivery. The Administrative Assistant role is the essential link that keeps our operations running smoothly and directly enables our teams to focus on their core responsibilities while handling the critical administrative functions that support business continuity. Contributing to team initiatives that improve our operational efficiency, including event logistics, travel planning and expense reporting, onboarding of new employees, and ensuring our clients and visitors receive exceptional service. The ability to demonstrate a proactive, continuous-learning mindset and strong attention to detail will help identify and resolve issues before they impact the business, making this role an invaluable part of our success.

Requirements

  • 3+ years of administrative experience, in banking, professional services or other fast-paced environments
  • Experience with database management and CRM systems (Salesforce experience preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Demonstrated experience supporting senior-level executives or large teams with complex scheduling and operational needs
  • A proactive, self-motivated approach to problem-solving, with the ability to anticipate needs, raise issues early, and follow through to resolution
  • Tech-savvy mindset, with a continuous-learning approach that readily embraces emerging technologies, including GenAI tools, to improve efficiency and ways of working
  • Active knowledge of conference call and video conferencing technologies
  • Knowledge of travel booking systems and expense management processes
  • Strong organizational skills with ability to manage multiple priorities simultaneously
  • Exceptional written and verbal communication skills and interpersonal skills
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism
  • Must attend at least one in-person interview at the Englewood office before an offer can be made.
  • Must have an indefinite right to work in the United States.

Responsibilities

  • Provide comprehensive administrative support to teams, including direct support for senior-level executives and their leadership teams
  • Ensure physical workspaces are equipped and functional, and proactively escalate issues to support teams
  • Manage document platforms with accuracy and attention to detail
  • Complete and submit travel and personal expenses within deadlines, following up on all queries
  • Manage team calendars and update databases, including Salesforce, with new contacts
  • Track team attendance and office presence
  • Curate conference calls and video conferences, including large-scale Town Halls, providing technical support for AV issues and facilitating question and answer functionality
  • Welcome visitors, suppliers, and clients, providing comprehensive support including bookings and access management
  • Support events and seminars with logistics coordination
  • Provide backup support to other Administrative Assistants and handle ad hoc requests with flexibility
