About The Position

The Reynolds Owner Association (ROA) is seeking an Administrative Assistant to provide comprehensive administrative support. This role involves managing the ROA website, maintaining property owner databases, generating reports, preparing various business documents, coordinating installations and repairs, assisting committee members, and providing customer service to property owners. The position also includes handling mail, processing shipments, assisting with the Community Access Coordinator role, managing decal applications and vendor registrations, and supporting ROA projects.

Requirements

  • A minimum of 3 to 5 years of administrative assistant experience
  • Good written and verbal communication skills
  • Strong organizational skills
  • Typing 50 wpm
  • Working knowledge of Microsoft Word and Excel
  • Excellent basic mathematical skills
  • Positive people skills and ability to work independently to meet deadlines
  • Ability to work in a team environment

Responsibilities

  • Provides administrative support to ROA personnel
  • Administration of ROA website via coordination with ROA Accounting Manager and Marketing Department
  • Maintains and updates the ROA website, including training and support for property owners in the use of the website
  • Ensures that multiple property owner databases are in agreement and are updated on when differences are identified
  • Generate new knowledge in the form of reports, tutorials, and other documents relevant to project work and standard operating procedures
  • Maintains property files and departmental files
  • Prepares correspondence, minutes, budgets, reports, agreement contracts and other departmental business
  • Coordinates and schedules installation of Owners mail boxes, prepares billing and bills contractors who damage mail boxes
  • Assists ROA Committee Members in preparations of scheduled meetings, minutes and meeting notices
  • Assists biweekly and as needed in switchboard relief
  • Mails decal application forms and processes returned forms as required
  • Follows through on all Owners requests until resolved
  • Maintenance of all Associations’ records, including budgets, covenants, agreements and resolutions
  • Provides customers service to Reynolds Lake Oconee owners as needed
  • Processes incoming/outgoing mail
  • Processes FedEx Shipments
  • Serves as backup and assists the Community Access Coordinator (Dwelling Live)
  • Receive and process online property owner decal applications and distribute decals.
  • Registers vendors for annual decal purchases and issues decals when fees are paid.
  • Assists owners in use of Dwelling Live system
  • Mails decal application forms and processes returned forms
  • Provides Dwelling Live reports as requested
  • Orders departmental office supplies and monitors inventory of office supplies
  • Assists in mass email distribution using web-based software
  • Assists in the scheduling and billing of Owner’s mailbox installation and repair
  • Assists in coordination and completion of ROA projects
  • Updates VMS property owners’ files
