Job Description We are seeking a highly organized and proactive Administrative Assistant to provide administrative support to our Facilities team. This role will manage contractor scheduling, facility work requests, purchase requisitions (PRs), and other administrative tasks, ensuring smooth operations, timely maintenance, and efficient project execution. The Administrative Assistant will be the central point of facility coordination, helping technical staff focus on preventive maintenance, infrastructure planning, and strategic priorities.

Requirements

  • High school diploma or equivalent required; associate degree preferred.
  • Minimum of 3 years of administrative support experience, preferably in facilities, maintenance, or operations environments.
  • Strong proficiency in Microsoft Office applications, including Excel, Word, and Teams.
  • Excellent organizational skills with strong attention to detail and the ability to multitask effectively.
  • Strong written and verbal communication skills.
  • Dependable, professional, and able to follow through on tasks consistently.

Nice To Haves

  • Experience with CMMS systems preferred familiarity with procurement or work order systems a plus.

Responsibilities

  • Coordinate contractor scheduling and manage communication between internal teams and external vendors.
  • Track and follow up on facility work requests to ensure timely completion.
  • Prepare, submit, and track purchase requisitions (PRs) and associated procurement documentation.
  • Maintain accurate records, logs, and reports related to maintenance and facility operations.
  • Assist with meeting coordination, documentation, and follow-up on assigned action items.
  • Serve as the first point of contact for visitors, contractors, and vendors, managing site access procedures and ensuring compliance with safety requirements.
  • Support general office administration tasks, including document preparation, filing, and inventory tracking.
  • Collaborate with Facilities and other departments to streamline processes and improve operational efficiency.
