The Role We are seeking a highly organized and detail-oriented Administrative Assistant to join our Fort Lauderdale team. Your role plays an important part in ensuring seamless office operations, making positive first impressions with our clients and visitors, and leading the upkeep of common office spaces. This is a fully in-office role.

Requirements

  • Bachelor's degree or equivalent experience preferred.
  • 2+ years of proven experience as an administrative assistant or in a relevant role.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Adaptability and willingness to learn new tasks and processes.

Nice To Haves

  • Florida Notary is a plus but not required.

Responsibilities

  • Serve as the primary point of contact for office visitors, deliveries, and maintain all common areas and supplies.
  • Prepare and submit expense reports for senior leadership.
  • Perform general clerical duties such as answering phones, managing mail.
  • Assist with the organization and execution of departmental events, meetings, and conferences.
  • Coordinate and schedule meetings, appointments, and travel arrangements for department heads and team members across various corporate departments.
  • Handle confidential information with discretion.
  • Adapt and prioritize tasks to meet changing deadlines and demands.
  • Provide administrative support to other Florida offices as needed.
  • Collaboration with Administrative staff in other Florida offices.
  • Flexibility to adjust schedule based on meeting needs.
