About The Position

The City of Edinburg in Edinburg, TX is actively seeking a dedicated Administrative Assistant to perform administrative support work. This role is essential to the city, involving preparation and distribution of information concerning programs and services to City Council, City Manager, Department Heads, and employees. The position requires constant readiness for new and unexpected challenges, including assisting in preparing, editing, and distributing correspondence, reports, and forms, compiling data, and ensuring compliance with City, state, and federal requirements. Additionally, the Administrative Assistant will assist in planning meetings, conferences, and seminars, and provide general office support such as filing, answering phones, routing mail, and ordering/maintaining office supplies. The role also involves providing assistance and support to other divisions within the department as needed.

Requirements

  • Associates Degree in a related field.
  • Two (2) years of experience in administrative, budgetary, and clerical functions.
  • Must have a current valid class "C" driver's license from the Texas Department of Public Safety.
  • Excellent oral and written communication skills.
  • Attentiveness to detail.
  • Dependability.
  • Skills in general office procedures and policies.
  • Skills in general office equipment and computers.

Nice To Haves

  • Bachelor Degree in a related field.
  • Three (3) years in related fields.
  • Bilingual English/Spanish.

Responsibilities

  • Providing administrative support and assistance to the assigned department and, in some cases, other personnel.
  • Giving direction, assigning tasks, monitoring workflow, and maintaining attendance records of other department staff.
  • Preparing and distributing information concerning programs and services to City Council, City Manager, Department Heads, and employees.
  • Assisting in preparing, editing, and distributing correspondence, reports, and forms.
  • Compiling data and documents and complying with City, state, and federal requirements.
  • Assisting in planning meetings, conferences, and seminars.
  • Providing assistance with general office duties such as filing, answering and routing phone calls, routing mail, and ordering and maintaining office supplies.
  • Providing assistance and support to other divisions within the department as needed.
