About The Position

Administrative Assistant Roles and Responsibilities Summary of Position The Administrative Department is responsible for the accurate and timely processing of all administrative functions of the Service Center at Sunshine Metals, Inc. (SMI) Responsibilities and Duties As a minimum, the following is a basic description of typical duties and responsibilities expected of the Administrative Assistant. These duties are not exhaustive and are subject to change as the needs of the organization require. Prioritize work according to the financial goals and quality objectives of the company. Assume all responsibilities and duties in the absence of the Administrative Manager. Promptly answer incoming calls and direct them to the appropriate party. Release sales orders and perform credit checks in a timely fashion. Match and scan the daily shipment packages. Scan test reports. Review sales and purchase orders for accuracy. Enter sales orders and purchase orders into the BTS system. Invoice shipments accurately and in a timely manner. Maintain the filing system, such as but not limited to customer sales orders, vendor purchase orders, test reports, and paid expenses. Prepare and mail invoices. Assist in all aspects of the Administrative Department such as accounts receivable, accounts payable, inventory control, purchasing, receiving and human resources.

Requirements

  • High school diploma or equivalent
  • One or more years of experience in administrative/clerical roles or accounting.
  • Microsoft Office proficiency, including Word, Excel, and Outlook
  • Excellent written and oral communication skills
  • Excellent organizational, problem-solving skills, and time management skills
  • Operate with high integrity, maintaining positive relations with co-workers, customers and suppliers
  • Strong work ethic; self-motivated

Nice To Haves

  • Three or more years of experience in administrative/clerical roles or accounting.
