About The Position

The Transwest Administrative Assistant team is growing! We are looking to add an Administrative Assistant to the team whose primary responsibility will be to coordinate travel across the Transwest organization. Our ideal candidate will be detail oriented, personable, and able to juggle many different projects at the same time. Requirements

  • Requires frequent sitting, standing, balancing, bending, or stooping for prolonged periods of time.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.
  • Ability to communicate by providing verbal and written feedback in a professional manner.
  • Normal range of hearing and vision.
  • High school diploma or equivalent.
  • Valid Driver's License and MVR in good standing.
  • Self-starter that needs little to no supervision to accomplish tasks. Possess strong analytical skills.
  • Able to use a computer proficiently and effectively while utilizing many applications.
  • Possess at least two years of office management or executive level administrative work.
  • Outstanding organizational and time management skills.
  • Exercise a high level an attention to detail to effectively complete tasks.
  • Demonstrate superior communication skills in person, over the phone and electronically.
  • Ability to successfully complete a General Abilities Assessment and pass post-offer background check, physical and drug screening.

Nice To Haves

  • Experience working in Google Docs and Google Sheets is preferred.

Responsibilities

  • Book flight, hotel and other travel arrangements for Transwest personnel.
  • Schedule and coordinate conferences for the Transwest entities.
  • Provide high-level administrative support by conducting research, and handling information requests.
  • Clerical tasks such as preparing correspondence and scheduling. Answer and direct up to five phone lines at a time.
  • Sort mail and distribute it in a timely manner.
  • Review credit card statements and code for the Accounting Department. File documents as needed.
  • Schedule and manage several CDL drivers who travel throughout the United States, as required.
  • Posting Accounts Receivable deposits daily and assist with Interbranch accounting.
  • Posting Accounts Payable Credit Card Entries
  • Other duties as assigned by the manager.
