About The Position

This role of this Administrative Assistant position is considered an essential position within the organization. The position falls under the Human Resources department and reports to the Human Resources Manager. This role is vital to the communication hub between our internal departments, clients, patients, and headquarters based in Long Beach. You will be required to manage the front desk by accepting incoming calls, assisting with department scheduling, welcome guests, as well as provide assistance to various departments for projects. The right candidate should have confidence in their abilities as a problem solver and have the poise to execute solutions in a timely fashion. Good time-management, customer service, and critical thinking abilities are essential.

Requirements

  • 1+ years of administration skills are strongly preferred
  • 1+ year in medical or healthcare environment preferred
  • High energy and goal orientated
  • Problem solving and time management skills
  • Brilliant verbal and written skills
  • Proficient in Word, Outlook, Excel
  • Positive attitude with great interpersonal skills
  • Outstanding work ethic
  • World-class customer service skills
  • Ability to work Monday through Friday 8:00am – 5:00pm (no weekends)

Responsibilities

  • Maintain employee compliance databases and update information on an ongoing basis; generate monthly and quarterly management reports. (Medical suspended list, OIG, SAM).
  • Responsible for scheduling interviews with mangers and prospective candidates.
  • In charge of scheduling appointments within the company (conference room, audit room, conference bridge). Assist with any meal ordering for company meetings.
  • Provide support on special projects such as preparation of training materials and manuals, complex projects in support of application or report preparation
  • Manage Fed-Ex account, track all purchases and supply closet inventory
  • Stock our upstairs and downstairs break rooms on a daily basis
  • Filter all front desk calls to the appropriate recipient or queue.
  • Maintain excellent customer service to all callers and staff.
  • Available for projects within all departments to learn more about our company and processes.
