About The Position

The Executive Administrative Assistant plays a critical role in supporting senior leadership by coordinating communications and ensuring the smooth operation of daily administrative functions. This position requires a proactive individual who can anticipate the needs of executives and handle a variety of tasks with discretion and professionalism. The successful candidate will serve as the first line of communication for incoming calls, emails, and visitors. They will also help to facilitate invoice and check preparation in coordination with the finance department. The Executive Administrative Assistant enables leaders to focus on strategic priorities. Ultimately, this role contributes significantly to the overall productivity and effectiveness of the executive team and the organization as a whole.

Requirements

  • High school diploma or equivalent
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills with the ability to multitask effectively
  • Excellent written and verbal communication skills
  • Valid Driver's License

Nice To Haves

  • Experience supporting C-level executives or senior management
  • Familiarity with restaurant management tools and software. R365
  • Knowledge of office management procedures and basic accounting principles
  • Ability to work independently, efficiently, and purposefully, and exercise sound judgment in a quiet environment
  • Certification, such as Certified Administrative Professional (CAP), is a plus
  • Preference given to individuals with Accounting/ Licensing experience

Responsibilities

  • Manage and maintain communication with the finance company.
  • Prepare, edit, and distribute correspondence, incoming and outgoing mail, and other documents with a high degree of accuracy and professionalism.
  • Serve as the primary point of contact between executives and external persons, handling inquiries and facilitating communication.
  • Maintain confidential files and records, ensuring sensitive information is handled with discretion.
  • Assist with special projects and perform other administrative duties as assigned to support the executive team. Such as running errands and picking up lunch.
