About The Position

This position provides administrative and operational support to the OhioRISE Program Director and assigned department managers. Responsibilities include coordinating departmental activities, assisting with a variety of administrative tasks, and performing confidential support functions to ensure the efficient operation of the program.

Requirements

  • Requires a high school diploma or a GED.
  • At least three years progressively responsible clerical experience required.
  • Must obtain CPI following hire.
  • Must have excellent customer service skills.
  • Must be proficient with computer operations and various software packages such as Excel and Word, Power Point. Depending on the area clinical documentation systems or financial systems are also required.
  • Must be able to work under stress with frequent interruptions.
  • Must be able to follow complex instructions and think logically in following instructions and procedures.
  • Must be able to work independently and make independent decisions when situations warrant such action.
  • Must be able to maintain confidentiality.
  • Must be able to work with ill, disabled, emotionally upset and at times hostile individuals.
  • Must be able to work evenings, weekends or alter work schedules to meet department needs.

Nice To Haves

  • Associate's in office administration or related field preferred.
  • Experience working for multiple individuals preferred.

Responsibilities

  • Provides comprehensive administrative support to the OhioRISE Program Director, department managers, and assigned staff, including preparing correspondence, reports, presentations, and other departmental documents.
  • Coordinates meetings, events, and committee activities, including scheduling meeting spaces, sending invitations and reminders, preparing agendas and materials, recording meeting minutes, and maintaining related records.
  • Manages departmental communications and reception responsibilities by answering and routing phone calls, greeting visitors, processing correspondence, distributing mail and faxes, and coordinating travel arrangements as needed.
  • Collects, maintains, and analyzes program data to prepare required reports, identify patterns and trends, create charts or graphs, and communicate findings to appropriate leadership.
  • Maintains organized departmental records, files, supplies, and administrative resources, including office supplies, equipment, site-specific materials, vehicles, credit cards, and other assigned program resources.
  • Coordinates schedules and provides administrative support for program operations, including transportation, staff schedules, managed care documentation, monthly team reports, and other programmatic needs.
  • Provides coverage and support to other Administrative Assistants as needed and actively participates in team meetings, supervision, training, professional development, and all applicable agency policies and procedures.
