About The Position

This role provides essential administrative and clinic support in a fast-paced outpatient urology environment. The individual will work closely with providers, nurses, and clinic staff to support daily operations and patient care. Success in this role involves working independently with mentor support within 3 months, understanding clinic workflows and priorities. By 6 months, the individual should be fully independent in assigned responsibilities and confidently managing daily administrative and clinic tasks. Within 12 months, the expectation is to independently handle responsibilities, expand skills, take on new tasks, and identify opportunities for process improvements.

Requirements

  • High School Diploma or GED required
  • 0–3+ years of relevant experience required
  • Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel
  • Ability to work effectively in a fast-paced, complex, and matrixed organization
  • Strong organizational skills with the ability to manage multiple priorities

Nice To Haves

  • Previous administrative experience preferred
  • Medical Assistant (MA) experience or medical office experience is a plus
  • Highly organized, reliable, and responsive
  • Strong team player who works well with clinical and administrative staff
  • Ability to identify issues and prioritize tasks based on urgency and importance
  • Comfort working in a fast-paced, patient-focused environment

Responsibilities

  • Making pre-operative reminder calls for clinic cultures
  • Locating and managing clinic images and documentation
  • Providing administrative support to the Riley Urology Clinic
  • Assisting providers, nurses, and clinical team members as needed
  • Performing additional tasks as assigned to support clinic operations
  • Managing priorities effectively in a busy clinical setting
  • Provides basic administrative and technical support to leaders and teams
  • Manages calendars, schedules, and meeting coordination
  • Coordinates travel arrangements when applicable
  • Processes invoices and handles routine inquiries
  • Addresses basic administrative and technical issues with general guidance
