About The Position

Our client is seeking a detail-oriented and organized Temporary Administrative Assistant to provide administrative and financial support to departmental operations. The ideal candidate will possess strong office administration skills, experience with accounts payable and invoice processing, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Previous administrative support experience, preferably in a government, public sector, or accounting environment.
  • Knowledge of accounts payable processes and invoice processing.
  • Experience with budget tracking, financial recordkeeping, and reconciliation procedures.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong organizational, communication, and customer service skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently and manage multiple tasks with accuracy and attention to detail.

Responsibilities

  • Assist with the preparation, monitoring, and reconciliation of departmental budgets.
  • Process invoices and accounts payable transactions accurately and in a timely manner.
  • Support financial tracking and reporting for departmental operations.
  • Maintain accurate financial and administrative records in accordance with established policies and procedures.
  • Ensure compliance with applicable city, state, and federal regulations.
  • Manage daily office operations, including answering phones, responding to emails, and handling public inquiries.
  • Respond to inquiries from staff, vendors, and the public regarding financial, accounting, and administrative matters.
  • Prepare correspondence, reports, spreadsheets, and other administrative documents as needed.
  • Maintain filing systems and departmental records, both electronic and paper.
  • Provide general administrative support to management and departmental staff.
  • Perform other related duties as assigned.
