We are looking for a highly organized, proactive, and tech-savvy Administrative Assistant to become an important member of our growing team. This role is ideal for someone who enjoys keeping things organized, staying one step ahead, working with technology, and making sure the details don't fall through the cracks. You will provide administrative and operational support across scheduling, email management, records, client files, CRM activity, research, affiliate coordination, and day-to-day business needs. You will have the opportunity to learn, grow, take on increasing responsibility, and work closely with experienced recruiting leadership in a supportive, collaborative environment.

Requirements

  • At least 1 year of experience in an Administrative Assistant, Executive Assistant, or similar administrative role, preferably in a remote environment
  • Ability to work 40 hours per week
  • Availability for significant working-hour overlap with U.S. Central Time, generally within the 8:00 AM–5:00 PM CT / 9:00 AM-6:00 PM CT business window
  • Excellent organizational and time-management skills
  • Ability to manage multiple priorities while maintaining accuracy and follow-through
  • Strong written and verbal English communication skills
  • Proficiency with Google Drive and Google Workspace (G Suite)
  • Experience working with cloud-based file storage and digital documentation
  • Strong calendar management and scheduling skills
  • Good online research and information-gathering skills
  • Reliable internet connection and a dependable computer/work setup
  • Ability to work independently and stay productive without constant supervision
  • Professional, dependable, positive, and solution-oriented attitude

Nice To Haves

  • Experience with GoHighLevel (GHL)
  • Experience with CRM systems
  • Familiarity with Applicant Tracking Systems (ATS)

Responsibilities

  • Provide day-to-day administrative and operational support to the Owner and team, including participating in regular meetings and tracking priorities, tasks, and follow-ups.
  • Manage scheduling, calendars, calls, appointments, and travel planning for the Owner and team.
  • Monitor and organize the Owner’s inbox, prioritize communications, and ensure timely follow-up.
  • Maintain organized client records, digital folders, and Google Drive files.
  • Manage data entry and updates within CRM, ATS, and task management systems.
  • Assist with affiliate and partner communications, relationship management, and tracking.
  • Conduct research, organize information, and assist with special projects and business initiatives.
  • Take ownership of additional administrative needs, identify opportunities to improve processes, and proactively solve problems as they arise.
