About The Position

In an environment of continuous quality improvement, the Administrative Assistant is responsible for performing all levels of departmental administrative support including but not limited to copying, phone/reception, mail handling, filing, scheduling meetings, coordinating activities and general typing. Exhibits the MHS Standards of Excellence and exercises strict confidentiality at all times.

Requirements

  • High School Diploma, GED or equivalent experience required.
  • Courses in office procedures or equivalent required.
  • Interpersonal, typing skills and medical terminology.
  • Knowledge in the use of spreadsheets and presentation programs.
  • Knowledge in the use of database programs.
  • Ability to read, write and do math as generally demonstrated by a high school diploma or GED.

Responsibilities

  • Exhibits good guest relations with patients, referring physicians, visitors and hospital employees.
  • Answers, screens and transfers inbound phone calls.
  • Receives and directs visitors, patients and staff.
  • Performs general clerical duties including photocopying, fax and mailing.
  • Maintains electronic and hard copy filing systems.
  • Handles requests for information and data.
  • Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
  • Schedules and coordinates meetings and appointments.
  • Prepares agendas for meetings and record, compile, transcribe and distribute minutes of meetings.
  • Opens, sorts and distributes incoming correspondence.
  • Assumes all other duties and responsibilities as necessary.
  • Serves as the department insurance link; performs prior authorization for services.
  • Performs tasks of posting charges and keeping statistics for department.
