About The Position

The Administrative Assistant – EHS provides administrative and clerical support to the Environmental, Health, and Safety (EHS) department. This position is responsible for preparing documents and reports, coordinating meetings and training events, maintaining records, supporting OSHA recordkeeping requirements, and delivering professional customer service to internal and external stakeholders. The ideal candidate will maintain a high level of professionalism, confidentiality, organization, and attention to detail while supporting departmental objectives.

Requirements

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong data entry, filing, and record management skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Basic mathematical aptitude and analytical skills.

Nice To Haves

  • Previous experience supporting an EHS, Human Resources, Manufacturing, or Industrial department preferred.
  • Strong interpersonal and customer service skills.
  • Excellent written and verbal communication skills.
  • Strong organizational, planning, and time management abilities.

Responsibilities

  • Create accurate and professional documents, correspondence, spreadsheets, charts, graphs, and presentations as requested by management.
  • Schedule meetings, appointments, and training sessions for the EHS department.
  • Provide excellent customer service to visitors, vendors, customers, and employees while directing inquiries to the appropriate personnel.
  • Assist with coordinating training events, including scheduling rooms, preparing materials, and ensuring proper room setup.
  • Maintain organized filing systems and accurate departmental records.
  • Support EHS and management teams with administrative projects and overflow work as needed.
  • Perform general clerical duties including data entry, document preparation, filing, copying, and record maintenance.
  • Maintain confidentiality of sensitive information and uphold company standards of integrity and professionalism.
  • Complete OSHA recordkeeping requirements, including maintaining OSHA 300 logs, incident records, metrics reporting, graphing, and internal EHS reports.
  • Collect data and information from various departments and conduct follow-up activities with managers and employees as needed.
  • Maintain a clean, organized, and professional work area.
  • Support continuous improvement initiatives and departmental objectives.
  • Perform other duties as assigned.
