About The Position

PURPOSE OF THE POSITION: Assists the Program Director and staff in maintaining records. Responsible for all administrative support involving scheduling, timecards, purchasing, billing and correspondence. Performs all other clerical duties as required. This role offers flexible hours between 10 hours per week , perfect for individuals eager to contribute to a vibrant office environment while maintaining work-life balance. The on-call Administrative Assistant will provide quality administrative, organizational, and operational support to the staff. REPORTS TO: Program Director

Requirements

  • Must have a GED or HS Diploma
  • Prior office or clerical experience a plus.

Nice To Haves

  • Associate's degree preferred

Responsibilities

  • Updates and maintains staff personnel records.
  • Assists with onboarding documentation and compliance requirements for program staff.
  • Assists with organizing and maintaining office inventories
  • Purchases office supplies for program and ensures that office equipment is in working order.
  • Completes time sheets for payroll in absence of the Program Director
  • Reconcile petty cash, clothing, transportation, and recreation funds.
  • Maintains billing records.
  • Provides day-to-day administrative support to staff including scheduling, answering phones, filing calendar coordination, and meeting prep as needed
  • Drafts, edits, and formats correspondence, reports, and internal documents.
  • Assists with special event planning
  • Coordinates communication between program staff, external partners, and organizational departments.
  • Any other assigned tasks.
