Our mission is to provide a lifetime of opportunities for people with intellectual and developmental disabilities. SUMMARY: The Administrative Assistant for Community Living Services provides comprehensive support to the Executive Director and the Community Living Services department. This role involves managing calendars, processing & approving invoices, taking meeting minutes, and assisting with various administrative functions to enhance the efficiency and effectiveness of the Community Living Services team. The position also includes supporting Home Managers, coordinating with the finance department, and ensuring accurate data management.

Requirements

  • Proficiency in office software (e.g., Microsoft Office Suite) and Therap (or other electronic records) software.
  • Ability to handle confidential information with discretion.
  • Experience in event planning and coordination.
  • Strong problem-solving skills and attention to detail.
  • Ability to work collaboratively in a team environment.
  • Flexibility and adaptability to handle various tasks and changing priorities
  • High School diploma or general education degree (GED)
  • Two to three (2-3) years administrative or office experience

Responsibilities

  • Schedule and manage meetings, appointments, and events for the Director and the CLS team.
  • Manage CLS, CSS, and Direct Support Professional (DSP) meetings, including scheduling and coordination.
  • Assist with executive leadership meetings, including setup, food orders, and taking minutes as needed.
  • Review and prepare the budgeted hours reports for each PC/HM and schedule meetings with each team and CLS Directors.
  • Support the planning and execution of departmental events and activities (e.g., DSP Week, Nurses Week, departmental luncheons).
  • Participate in team meetings and support team goals and initiatives.
  • Review and approve invoices related to Community Living Services expenses.
  • Work with finance on pharmacy billing and Home & Community-Based Services (HCA) expenses.
  • Review staff documentation in the electronic records management system and provide reports to the CLS department.
