KBR is looking to hire an Administrative Assistant to support our team at Naval Air Station (NAS) Jacksonville, FL. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing administrative support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to this position.

Requirements

  • Must be a US Citizen
  • Must have an active DOD Secret Clearance
  • Three (3) years of proven administrative experience working in a customer service and business-oriented professional environment
  • High School Diploma
  • Valid Driver’s License required

  • An AA/AS degree or equivalent is preferred
  • AA/AS Degree or equivalent preferred
  • Preferred Command Pay and Personnel Administrator NEC (791F) certificate (provided upon request) or other DOD service equivalent.
  • Member must complete the 25 Navy eLearning courses identified in Exhibit 3 of MILPERSMAN 1000-021 as an option for obtaining this NEC.

Responsibilities

  • Provide superior customer service to personnel assigned to the organization.
  • Manage multiline phone system, and maintain an organized, clean office environment.
  • Respond to administrative request in a timely manner by answering questions and providing information.
  • Ensure optimal use of office equipment, ordering supplies, and checking inventory of items needed for office usage.
  • Maintain workflow by analyzing and refining standard operating procedures, such as scheduling and communications.
  • Upload documents into ERM Salesforce to complete Gains and Losses of personnel.
  • Accurately and concisely complete Travel Claims for onboarded/newly assigned sailors to liquidate permanent change of station orders.
  • Perform clerical, personnel security, and general administrative duties, which include typing, filing, preparing, routing correspondence, and maintaining records.
  • Consistently apply time management and scheduling skills.
  • Commitment to maintain confidentiality of personal matters involving Sailors to include discussions, documentation, and personal information in accordance with regulations safeguarding sensitive information.
  • Coordinate internal and external resources to expedite workflow.
  • Provide administrative support to Administrative Officer and Senior Leaders, including email correspondence and generation and distribution of memos, letters, spreadsheets and forms.
  • Support general operations by completing general administrative clerical receptionist and project-based related activities.
  • Update Recall Rosters, Organizational Charts, and Muster Reports.
  • Perform basic numerical, statistical, and/or financial analysis.
  • Apply common-sense understanding to execute written or oral instructions while utilizing effective oral and written communication skills.
  • This position requires a proactive mindset with a strong focus on creating a positive team culture to support a cohesive work environment.
