About The Position

The position of Administrative Assistant is an advanced administrative role which performs high level operational roles to support the operational and administrative demands of the facility. This role helps to ensure continued efficiency, improved workflow and better allocation of leadership and operational resources. This position will interface with employees at the terminal, customers, vendors and employees from other Ergon locations.

Requirements

  • Experience in industrial operation facility.
  • High school diploma or equivalent
  • Strong computer skills and Microsoft Office software proficiency; particularly Work and Excel.
  • Solid people orientation and ability to work well on a team or a an individual contributor.
  • Valid Driver's License and good driving record is required.
  • Possess or be able to obtain a Transportation Worker Identification Card (TWIC), where applicable.
  • Applicants must be authorized to work in the US and have a valid driver's license.

Nice To Haves

  • College degree is a plus.
  • Knowledge of asphalt-related business is a plus.

Responsibilities

  • Perform routine clerical duties including data entry, telephone, terminal office administration.
  • Front desk sign-in of visitors to terminal; remote operation of security gate (where applicable).
  • Maintain customer, supplier and Company confidentiality.
  • Maintain regular hours by being present, on-time and producing professional, error-free work.
  • Address employee and customer inquiries, problems, and concerns.
  • Reconciliation of monthly credit card statements for managers.
  • Prepare and make arrangements for mail and shipping service for terminal mail and packages.
  • Prepare and assist with Company sponsored social events, including safety training sessions, holiday socials, etc.
  • Receive and direct all non-specific telephone calls, mail and visitors.
  • Provide support to corporate office executives and management employees, as applicable.
  • Assist the Terminal/Transport Manager with routine office assignments.
  • Assist Plant Manager with Compliance and Safety Documentation.
  • Facilitate the ordering and tracking of repair parts.
  • Provide communication to state-based aencies.
  • Coordinate lab testing and reporting for the facility.
  • Assume responsibility for employee training records, filing and reporting.
  • Produce daily/monthly inventory reporting.
  • Assist Plant Manager with maintaining required safety equipment.
  • Assist Plan Manager with timely response to regulatory and safety communications.
  • Maintain updated Carrier Access and Masterwork Agreements.
