This role provides autonomous administrative support for a dedicated team or Manager, organizing the office, optimizing procedures, and managing communications. The position involves handling administrative requests, scheduling appointments, taking minutes, managing time and travel, and coordinating with other departments and external parties. The role also includes creating and updating records, preparing reports and presentations, drafting professional documents, managing and analyzing data in Excel, and designing PowerPoint presentations, all while leveraging advanced features of the Microsoft Office Suite.

Requirements

  • Associate degree with 2+ years of administrative experience or a Bachelor’s degree with a minimum of 1+ years of administrative experience.
  • Strong proficiency with the Microsoft Office Suite (Excel, PowerPoint, Outlook, etc.)
  • Fundamental understanding of SAP.
  • Strong business acumen and knowledge of current quality specifications.
  • Excellent written and verbal communication skills.
  • Self-motivated with a continuous improvement mindset and an assertive approach to problem-solving.
  • Ability to prioritize tasks and make informed decisions.
  • Must be legally authorized to work in the US.

Responsibilities

  • Provide autonomous administrative support for a dedicated team or Manager in the organization.
  • Organize the office, assist to optimize procedures, sort and distribute communications (i.e. inbound/outbound correspondence, visitors, effective information flow).
  • Handle administrative requests and queries, and organize/schedule appointments, plan meetings and take minutes.
  • Take over time and travel management, and/or travel expenses for team members or Manager.
  • Coordinate with other departments, and/or maintain relationships with external parties as involved (i.e. suppliers, customers, authorities).
  • Create and update records to ensure accuracy and validity of information, and assist in the preparation of qualified reports or presentations.
  • Draft, edit, and format professional documents, internal memos, manuals, and formal correspondence using Microsoft Word.
  • Manage and analyze data using Microsoft Excel, which includes building spreadsheets, tracking departmental metrics, and utilizing formulas to generate accurate reports.
  • Design and assemble high-quality, visually engaging Microsoft PowerPoint presentations and slide decks for internal meetings and external stakeholders.
  • Leverage advanced features across the Microsoft Office Suite to streamline administrative workflows and improve digital document management.
