About The Position

The Administrative Assistant in the Video and Events Production Department at Parker University plays a crucial supporting role in both creative video production and dynamic event management. This position blends administrative skills with an understanding of video and event logistics, providing vital support to the CCO and the department's team of professionals, including Directors and Managers.

Requirements

  • High School Diploma or equivalent required
  • At least two years of administrative experience in a creative, video production, or event management setting.
  • Strong communication skills for teamwork and external partnerships.
  • Detail-oriented with problem-solving capabilities.
  • Independent project management skills, productivity tracking using Hive software.
  • Professional demeanor, adaptable to change, capable of handling confidential information.
  • Proficiency in Microsoft Office, especially Excel.
  • Experience managing email, calendars, travel planning, and meeting coordination.
  • Process purchase requisitions and orders, review and submit vendor invoices, coordinate with internal departments on purchasing needs.
  • Excellent written and verbal communication skills.
  • Ability to ensure confidentiality and discretion.
  • Strong attention to detail and ability to multitask in a deadline-driven environment.
  • Visual acuity to use a keyboard and view a computer terminal.
  • Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp.
  • May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.
  • Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.

Responsibilities

  • Manage daily administrative tasks, including organizing files, handling correspondence, and managing schedules and calendars for the CCO and department heads.
  • Provide comprehensive support to Directors and Managers, facilitating their projects and initiatives.
  • Coordinate meetings, prepare reports, and act as a point of contact for departmental inquiries.
  • Assist in the planning and execution of video production and live event projects, tracking progress, communicating updates, and ensuring deadlines are met.
  • Contribute to special projects and additional duties as required by the CCO and departmental leaders.
  • Aid in the logistics of Parker's seminars and conferences.
  • Assist in venue coordination, setup, and breakdown of events, providing on-site support to ensure smooth execution.
  • Help manage every detail from planning to execution, ensuring precision and professionalism.
  • Assist with budgeting, track expenses, and handle procurement for projects and events.
  • Manage vendor relationships and ensure financial efficiency.
