About The Position

Nelson-Jameson is seeking a detail-oriented Administrative Assistant to join our Center of Excellence (CoE) team. This position is designed as a developmental pipeline into future administrative or entry-level roles across the company—including opportunities within the CoE’s project management function. In this cross-functional role, you’ll provide support across multiple departments, providing high-quality administrative and project support while building a strong foundation in business operations. From managing data and documents to assisting with front desk responsibilities and internal projects, you’ll contribute where it matters most—keeping teams organized and moving forward. Requirements

  • High School diploma or equivalent
  • 1+ year(s) of experience in an administrative, clerical, customer service, or support role (this may include internships, part-time roles, or volunteer experience)
  • Strong attention to detail and prioritization skills
  • Proficiency with Google Workspace or Microsoft Office tools
  • Clear, professional written and verbal communication skills
  • Agility in learning new systems, processes, and department workflows
  • Demonstrated accountability and follow-through
  • Ability to maintain confidentiality and handle sensitive information appropriately

Nice To Haves

  • Post-secondary coursework or degree in business, project management, or a related field
  • Experience using CRM, ERP, ticketing, or other workflow management systems
  • Exposure to project coordination, cross-functional collaboration, or business operations

Responsibilities

  • Deliver administrative support across multiple functional departments, including data entry, quote and order processing, document management, and reporting
  • Support front desk operations on a rotating basis—greet visitors, assist candidates, manage incoming calls, and maintain a professional and welcoming environment
  • Learn and apply department-specific systems, tools, and workflows to complete tasks accurately and efficiently
  • Monitor and complete assigned tasks through ticketing systems or internal workflows, ensuring prioritization and timely follow-through
  • Provide administrative support for cross-functional projects, including scheduling, documentation, and follow-up coordination
  • Maintain accuracy, consistency, and confidentiality in handling data, documents, and communications
  • Keep internal resources organized—contributing to checklists, process guides, and best practice documentation
  • Identify and communicate opportunities for improving processes, documentation, or efficiency
  • Communicate professionally with internal stakeholders across all departments
  • Participate in regular development conversations with your supervisor to support performance and long-term career growth
