About The Position

We are seeking a proactive and detail-oriented Administrative Assistant to enhance the efficiency and organization of our CFO, Finance leadership team and Chief Medical Officer. In this role, you will support executives by streamlining their workflow, optimizing their time, and ensuring organizational goals are met. You will collaborate closely with Executive Assistant, Administrative Assistants and Workplace to ensure smooth daily operations. Your contributions will directly impact the team’s productivity and create a more efficient work environment.

Requirements

  • 4+ years of experience as an Administrative Assistant, supporting teams or mid-level executives.
  • 4+ years of proficiency in Google Workspace (Docs, Sheets, Calendar).
  • 4+ years of experience coordinating complex travel arrangements, managing expenses, and overseeing meeting logistics.

Responsibilities

  • Independently manage senior executives' calendars, schedule meetings efficiently, and resolve conflicts proactively.
  • Handle meeting requests and logistics, ensuring timely communication and seamless execution of in-person and virtual meetings.
  • Organize logistics for events, offsites, and dinners, including venue bookings, catering, and technical arrangements.
  • Serve as a trusted liaison between executives, internal teams, and external partners, ensuring clarity and professionalism in all communications.
  • Work with Workplace Coordinators and EAs to plan and execute all event logistics, ensuring successful meetings and events.
  • Assist in booking travel and accommodations for executives, and manage expense reports through Navan for select VPs and Senior Directors, ensuring timely and accurate processing.
