About The Position

The Administrative Assistant provides essential, customer‑centric operational support to Networked Solutions R&D leaders and the broader R&D organization. This role enables teams to focus on high‑value, innovative work by ensuring day‑to‑day administrative and business processes run smoothly, accurately, and efficiently. This position is well suited for a proactive, highly organized professional who works with integrity, exercises sound judgment, and thrives in a fast‑paced, collaborative technology environment serving the Utilities & Energy sector. This role requires comfort working independently, partnering closely with senior leaders, and continuously improving how work gets done.

Requirements

  • Previous experience in a clerical or administrative support role, preferably in a professional or technology‑focused environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience working with Oracle or similar enterprise systems.
  • Strong organizational skills with the ability to manage multiple priorities, maintain attention to detail, and adapt quickly in an agile, fast‑paced environment.
  • Clear, professional written and verbal communication skills, with the ability to collaborate authentically and effectively with leaders, peers, and partners.
  • Demonstrated integrity, accountability, and discretion when supporting senior leaders and handling sensitive information.

Nice To Haves

  • Associate or bachelor’s degree in business administration or a related field.
  • Experience supporting teams within a technology, engineering, or R&D organization, ideally within the Utilities & Energy sector.
  • Experience contributing to process improvements, administrative efficiencies, or operational best practices.

Responsibilities

  • Provide reliable, accountable administrative support to multiple Networked Solutions R&D leaders, ensuring priorities are managed effectively and confidential information is handled with professionalism and discretion.
  • Manage complex calendars, schedule meetings, coordinate logistics, and reserve conference rooms in a way that supports agile decision‑making and cross‑functional collaboration.
  • Enter requisitions for purchase order generation, manage purchase orders, receive and review invoices, and submit documentation to Accounts Payable, ensuring accuracy, compliance, and timely processing.
  • Assist with travel arrangements, including booking flights, hotels, and related logistics, with a focus on efficiency, cost awareness, and a positive employee experience.
  • Monitor, order, and organize office supplies to ensure teams have the tools needed to work productively without disruption.
  • Prepare, edit, format, and maintain documents, reports, memos, and presentations that support clear communication, alignment, and innovation across the R&D organization.
  • Identify opportunities to streamline administrative processes, improve workflows, and enhance operational effectiveness, demonstrating an innovative and continuous‑improvement mindset.
